Show the original and revised arrangement
Send the latest valid drawing and mark the proposed change. Explain the reason, such as another product, a service clash or a discrepancy exposed during work. State what has already been built. A message saying the opening needs to be slightly wider provides insufficient context. Ask which affected activities should await the assessment before progressing further.
Assessment and additional fees are separate arrangements
The engineer identifies which calculations or drawings are affected. Ask for the required update, any additional information and timing. A changed client request is not automatically covered by the guarantee for municipal queries within the original scope. Confirm any additional fees beforehand. This keeps the necessary technical review distinct from discussion of the original appointment.
Replace the document set consistently
After an update, identify the revision released for construction. Distribute it to everyone involved and mark superseded copies accordingly. Check orders, supplier drawings and documents already used in any procedure. Keep earlier versions as history, but not beside current drawings without a clear status. A separate change email is easily missed when a contractor is using an older printout.
Practical checklist
- Mark changes on the current drawing
- Identify work already completed
- Confirm scope, fee and timing
- Distribute one current revision set
An informal verbal change is not a substitute for updated project documents.
